Overview
The Part-Time Evening & Weekend receptionist is the primary point of contact representing the Fort Mason Foundation to the public and reports to the Director of Client Services.
Duties & Responsibilities include the following. Other duties may be assigned.
Answering and routing all incoming telephone calls and managing an array of information
Assisting walk-in and scheduled visitors
Routing incoming mail for resident organizations and processing incoming and outgoing mail for the Foundation
Assuring that all deliveries are correctly routed
Acting as a liaison between on-site clients and Fort Mason Foundation's support staff
Monitoring and responding to contact@fortmason.org e-mail messages
Compiling checks received on a daily log for Accounting
Studying the monthly calendar of events and maintaining the receptionist manual of event information in order to assist callers and visitors efficiently
Maintaining and processing the Lost & Found cabinet
Developing, copying, and distributing the daily programs for the facilities technicians
Creating client directional signage for events
Completing mailings of the Fort Mason Center Monthly and other material
Recording the current message for voice mail
Maintaining the receptionist manual
Qualifications
The candidate must have solid Microsoft Office experience and be able and willing to learn our computerized event booking system. This person must have customer service experience in a dynamic environment, as well as excellent communication skills, as s/he will interact with Park visitors, clients, and all Fort Mason Foundation departments. This position requires someone willing to take direction, who can multitask and adapt to quickly changing situations.
This is a part-time 20-hour-a-week (occasional overtime may be required) non-exempt position.
