Sales Coordinator- part time
Fort Mason Center is dynamic waterfront destination for thought-provoking programs, events and organizations which support and reflect the evolving cultural fabric of San Francisco.
The Center has a 30-year history of successful operation as a cultural center. In addition to resident organizations, the Center operates over 100,000 square feet of rental space including theaters, meetings rooms, conference center, exhibit halls and galleries.
Overview
The Sales department is responsible for all venue rentals which include the Herbst and Festival Pavilions, the Cowell Theater, the Firehouse and over two dozen additional rooms. The Sales Coordinator provides administrative support to the four members of the Sales Department. This is an entry-level position with great potential for growth.
General Duties
- Respond to the general sales phone line
- Maintain electronic file database
- Maintain all sales collateral including copying and stocking materials. Assemble promotional packets as needed.
- Maintain client and vendor email list and send out client satisfaction surveys.
- Receive new inquiries and place venue space reservations.
- Prepare weekly sales forecast
- Schedule and conduct site visits with clients.
- Participate in weekly sales and staff meetings.
- Follow up with clients to ensure that all signed contracts and reservation deposits have been received and processed
- Maintain accurate Tax ID and Use Agreement folders for each client.
Qualifications
The candidate must have solid computer skills and be able and willing to learn the event booking system. This person must have excellent communication skills, as s/he will interact with clients and all Fort Mason Center departments. This position requires someone willing to take direction, capable of doing multiple tasks, works well under deadline pressure, is a fast learner and who will help to expedite the sales process for all venues at Fort Mason Center.
This is a half time (20-25 hours/week) non-exempt position, perfect for a student in a sales or nonprofit related field who hopes to grow in the job; or someone who has an interest in transferring into the field.
